Make a first studio visit feel clear and welcoming

Design a complete arrival experience across booking, signs, staff and a changed room.

UX, product and service designers, researchers and experience teams.

Your approach: Use a written storyboard, journey map, message examples, rough sketch or prose. Visual polish and specialist design software are unnecessary.

The problem

Design the first-visit experience for a fictional community art studio, from deciding to attend through finding a seat. Show or describe the journey, the information people need and how staff help when the expected path breaks. A written storyboard is as welcome as a diagram.

  • The same building hosts three activities. New visitors often wait at the wrong desk or miss the room-change notice.
  • Visitors include people unfamiliar with the venue, people who prefer another language and people who find small text difficult.
  • One host has 15 minutes to welcome 20 arrivals. Booking by phone must remain available.

Work within these constraints

Host preparation window

Declare the host’s total preparation and welcome time within the 15-minute arrival window.

Required target: ≤ 15 minutes

Comparable phone journey

Phone bookings must receive essential arrival information and a way to get help.

Room change

Explain how a visitor learns where to go when the room changes, including someone who missed the digital notice.

Information restraint

Do not require visitors to disclose a diagnosis, personal background or other unrelated information to receive help.

What to deliver

1

Visitor journey

Describe stages, visitor questions, touchpoints and the staff actions that support them.

2

Key messages

Write the essential booking confirmation and arrival or room-change message in plain language.

3

Inclusive recovery path

Walk through a phone booking and a visitor at the wrong desk; explain how they can recover without embarrassment.

4

Small usability check

Describe how you would test the journey with a few visitors, what you would observe and one change you might make.
